Online Booking Tool UBI

With UBI, you book all aspects of your business trip through one online platform. Whether it's a plane ticket, hotel stay, rental car, transfer, or train journey, UBI guarantees you the best travel offers. Once your trip is complete, you can finalize your booking by paying for the items in your shopping cart using a central payment method, and you will automatically receive confirmation and an invoice for your trip. The online tool is available on any device (desktop, tablet, and smartphone), 24 hours a day, 7 days a week.

More and more destinations within Europe are quickly, comfortably, and sustainably accessible by train. The map below shows at a glance which cities you can easily reach by train from the Netherlands. Ideal for study trips, business visits, or conferences.

Traveling by train offers many advantages. You board in the city center and often arrive right back in the center. Along the way, you can quietly work, read, or relax, without the hassle of checking in or waiting in lines. Moreover, traveling by train is much more environmentally friendly than flying.

FAQ 1: What does it mean if my flight shows as 'pending' in UBI?

If your booking is still on ‘pending’ in UBI, it means you have confirmed the booking but the tickets still need to be printed. The flights for Avans University of Applied Sciences are issued manually by us, so this is not an automatic process that takes place behind the scenes. When a flight booking from Avans University of Applied Sciences comes in, we try to process it as quickly as possible and issue the tickets, if possible. However, if you still have a flight on pending after a few hours, please contact us by email or phone.

Unfortunately, when booking a train to Germany, it is mandatory to reserve a seat when booking an ICE ticket. However, it is not possible to make a seat reservation in the online tool. Therefore, it is also not possible to make a booking to/from or via Germany by train. If you wish to book a train, please contact our online desk via ubi@uniglobealliancetravel.nl, so that we can book the train for you offline.

If you do not yet have a UBI login or can no longer log in via the online tool, we kindly ask you to contact ubi@uniglobealliancetravel.nl. In this case, we will create a login for you if this is approved by Avans University of Applied Sciences and you are known as the ordering authorized person.

If you can no longer log in to UBI or have forgotten your password and are not receiving the password reset link, please contact us via email. We can assist you and send a new login link so you can use the online booking tool again.

When completing a booking, there are required fields that must be filled in to finalize the booking. Is it not entirely clear what needs to be filled in? We will gladly explain it further below:

  • DEP Enter the academy abbreviation here.
  • Proquro Order (PQ number): Enter the PQ number belonging to the trip requested within the academy as the ordering authority. Example: PQ123456(987654)
  • Booker: [Name of person booking the trip in the online tool (yourself)]

When you receive a chat in UBI, you will receive it from the email address ubi@uniglobealliancetravel.nl.

However, the email address is no longer in use and is not checked for new emails.

We would like to ask you to use the chat's reply function when you receive a chat message and not to reply to the chat notification email. Otherwise, the chat message will unfortunately not reach the correct recipient.avans@uniglobeat.nl)

The email address ubi@uniglobealliancetravel.nl is no longer in use since February 1, 2025.

Pay on departure: the booking has been made, but it must be paid for on-site at the hotel or when picking up the rental car.
Pre-paid: The booking has been made and prepaid by Uniglobe. On-site, only the tourist tax + any extras need to be settled.

In the event that you wish to book a car rental with a prepaid payment method, you can choose the supplier Sunny Cars. If you book a car rental with the suppliers Sixt, Hertz, Avis, or Europcar, this will be a payment on site.

If you wish to book a hotel on a voucher, please choose from the hotel suppliers: Sunhotels, Ratehawk, or Expedia. If you choose Booking.com or Amadeus as your supplier, payment will be made on-site and a credit card will be required for guarantee.

By email, you can forward the new budget order to Uniglobe. We will ensure it is saved in our systems.

Under the documents section, you'll find an explanation of 2FA with Umbrella. You'll need to use an authenticator app on your mobile phone for this.

Please contact Uniglobe, as your new phone needs to be linked to your Umbrella account. You will receive a new link.

FAQ 1: Is it possible to place a hotel on hold?

No, unfortunately, this is not possible. A hotel booking is always finalized immediately. The booked conditions therefore apply with immediate effect.

No, Uniglobe only uses the PQ number created via the PQ order system to confirm and invoice the trip. After invoicing, it is no longer possible for Uniglobe to amend it.

No, this depends on the accommodation and availability.

Uniglobe can make a reservation. However, payment must be made on-site. It is not mandatory to make these bookings with Uniglobe.

Unfortunately, we cannot book Ryanair for you. This airline is not allowed to be booked by third parties such as travel agents, which has caused problems with check-in and even flight cancellations.

To prevent the problems that arose from this, we unfortunately had to decide to exclude this company from bookings through Uniglobe.

For this, we will refer you to our Groups & Incentives department. goMICE.

In the quote, you add up the air ticket, hotel, car rental, and/or train journey, and the Uniglobe fee. We do not share a total price in our quotes.

Avans University of Applied Sciences has made clear agreements in its travel policy to ensure that travel can only be requested by authorized bookers. This allows us, as well as you, to maintain an overview and ensures that only bookings are made that are fully approved and contain the correct mandatory information.

This applies not only to requesting but also to confirming a booking; we cannot take any further steps until we have confirmation from the authorized booker.

All necessary information can be found in the proposal that the Business Travel Consultants will send to you.

In the text above the suggested flights/hotel/train etc., you can see which fees are being charged, and in the proposal itself you will see the total fare for what you have requested. The sum of this data together forms the total amount that must be entered on the PQ form.

When you log into UBI, you will receive a code via email. You will enter this code when logging into UBI.

If the congress offers a combined booking option where you can arrange your admission ticket and hotel accommodation through a special link (often at a reduced rate), you may use this option and book both together. In all other cases, hotel accommodation must be booked through Uniglobe.

For every trip, a traveler profile must exist in Umbrella for Uniglobe to create a travel proposal, or you can book a trip in the online tool UBI.

Each airline individually has its own fare structure. Fares are referred to by different names and each airline has different rules and conditions. These fares change continuously, as does the fare structure. In UBI, we advise you to always click on ‘Additional Pricing Options’ to be able to compare the different fares and conditions.

For the offline booking process, Uniglobe consultants will state the different rates and their associated conditions in the offer.

NDC (New Distribution Capability) is a technology from IATA that allows airlines to offer fares and ancillary services directly. You can access these often more competitive or exclusive fares through both our online booking tool and our offline department.

Since NDC is still under full development, these rates are still not fully supported in all booking systems. This may mean that changes require extra manual processing. Consequently, you may have to wait longer for a confirmation than you are used to from us.

Therefore, we advise you to carefully consider whether an NDC ticket is the best choice in your situation if the price differences are small. In many cases, a standard published fare can offer more flexibility and faster processing, which may be more advantageous for changes or urgent requests. Naturally, we are closely monitoring developments and actively collaborating with airlines to further optimize the process.

Each airline has its own rules and fees for baggage rates. These baggage rates are subject to change. We advise you that when booking a trip, you check the baggage rates in UBI or ask Uniglobe consultants about the baggage rates at that time. We are happy to assist you with this.

Regarding train travel, we are in contact with Marlous Pijpe. Once it is clear what information she needs for booking trains in UBI, we will make a proposal for a text on the Travel Portal.

FAQ 1: When is a booking considered a group booking?
From 10 people/rooms.

You might think that a higher volume means a lower price. This is not the case with airlines and hotels. This is because an airline must achieve an average price per seat. Therefore, if they were to offer a (large) group at the rate of an individual (promotional) fare, they would never be able to achieve the predetermined average fare for the entire aircraft, and no airline wants that.

We can book all airlines that offer group fares, with the exception of Ryanair. This airline is not allowed to be booked by third parties such as travel agents, which has led to problems during check-in and even flight cancellations. To prevent these issues, we have unfortunately had to decide to exclude this airline from bookings through goMICE and Uniglobe.

Quotes are almost always subject to availability until the moment of confirmation. In some cases, a temporary option can be placed, where the rate and availability are guaranteed.

Prices per person may also change in some cases, for example, when the group becomes larger or smaller. Unit prices such as bus fares or dorm rooms in hostels are shared by a certain number of people. When that number decreases, the price per person increases.

This depends on the booked suppliers. Often this is between 30 and 14 days before departure.
This also depends on the booked suppliers. In general, free cancellation after booking is no longer possible. goMICE will share the conditions in an order confirmation with Avans. The goMICE fee is non-refundable in all cases.
We need to receive a PQ number from an authorized person within Avans to book the group trip.
No, we handle applications from A to Z. The application must be submitted to us from the very beginning.
Report this to the supplier themselves and also as soon as possible to goMICE, so that we can assist where possible in reaching a solution with the supplier.
